A real estate agency with four agents received an average of 25 to 30 inquiries a week, mostly on WhatsApp and through the website form. The problem was not volume, it was timing. Almost half of the requests arrived on Friday afternoon, Saturday and Sunday, when the office was closed or the agents were out on viewings.
When someone wrote "I'm interested in the apartment on Via Rossini, can I see it on Saturday?" and got no reply for 48 hours, in most cases they had already booked a viewing with another agency. Saturday morning is when people look for a home. Not Monday.
What we built
We built an agent that replies to WhatsApp messages within 90 seconds, at any hour. It knows the agency's available properties, the key features of each one, the agents' availability for viewings and the areas the agency covers.
When a request comes in, the agent qualifies the lead with three essential questions: what type of property, rough budget, timing. If the request fits the portfolio, it proposes two viewing slots and hands the conversation to the right agent with a briefing already written. The agent picks up a conversation that has already started, not a cold number.
For requests outside the portfolio or too vague to act on, the agent collects the contact and the details for a manual follow-up on Monday morning.
What changed
In the first 60 days, viewings booked from the same number of leads rose 40%. Not because there were more inquiries, but because far fewer of them were lost in the weekend silence.
The side effect the agents liked most: on Monday morning, instead of spending two hours answering weekend messages, they found a list of viewings already booked and a briefing for each one. Lead handling time fell from about three hours a week per agent to under forty minutes.
What the agent does not do
The agent does not negotiate with clients. It does not answer legal questions, discuss prices or handle the deal. For any conversation that needs judgment or negotiation, it hands over to a human agent with a summary of the situation.
Keeping the portfolio current takes a weekly manual step: when a property is sold or withdrawn, someone has to update the agent's reference file. We looked at a direct integration with the agency's management software, but it needed API access that their version did not offer. A future improvement, not a current obstacle.
