A restaurant group with three locations in northern Italy took most of its bookings on WhatsApp. It worked well during the week, when someone on the floor could answer. The problem was the weekend: requests came in on Friday evening and Saturday afternoon, exactly when the staff were busy with service and could not reply. On Monday morning they found 20 or 30 unanswered messages. Half of those people had already booked somewhere else.
They were not looking for artificial intelligence. They wanted to stop losing bookings.
What we built
We built a WhatsApp agent that answers any request within three minutes, at any hour. The agent knows the real-time availability of all three locations, handles booking requests, confirms available tables and sends a summary to the internal booking system.
When a request is unclear (a large group, specific allergies, a special occasion), the agent collects the details and hands the conversation to the manager with a summary already written. The manager replies to a qualified situation, not to a cold message.
The tone is the restaurant's own: direct, friendly, never robotic. Regular customers did not notice the change.
What changed
Lost weekend bookings dropped from an average of 18 a week to fewer than 4. That was not what surprised the owner most, though. It was that on Monday morning the staff arrived with the week already organized, instead of spending the first hour answering a backlog of messages.
The second effect was on the quality of the staff's work. Answering WhatsApp messages during service was a constant source of mistakes and stress. Taking it off their plate had an impact nobody had planned for in the project.
One thing to say clearly
The agent handles standard bookings well. It does not replace the manager for complex requests: corporate groups, private events, custom menus. In those cases it gathers the details and passes them on, but the decision stays human.
We also found that one of the three locations used a booking system with no API. We solved it with a daily manual availability update through a shared file, which works but is not ideal. If you use TheFork, Restoo or any platform with a public API, the integration is direct.
Who this is for: Restaurants, bars that take reservations, event venues. If you receive bookings on WhatsApp and cannot always reply quickly, this can be built. You need a WhatsApp Business number and an availability list that can be kept up to date.
